How to cancel an invoice and record / edit refunds and cancellation fees

To cancel an invoice requires going into the reservation history for a guest within the guest control panel. Click on the "Cancel" icon...

Cancellation Window

  1. Cancellation Fee - Set the amount of the cancellation fee, if any. This field is NOT populated automatically based on your Cancellation settings. This is VERY important if the guest is going to be financially penalized for canceling the reservation. A "cancellation fee" line item is always added to a canceled invoice, even if the amount is set at zero. This allows the addition or editing of a cancellation fee after the invoice has been canceled.

  2. Record Refund - Choose whether of not you want to record a refund for the reservation. REMEMBER REFUNDS ARE NOT PROCESSED THROUGH LODGIX, YOU MUST LOGIN TO YOUR PAYMENT GATEWAY TO PROCESS THE REFUND.

  3. Record Credit - Use this to create a guest credit for a guest. More information about this feature can be found here.

  4. Status - Choose if the cancellation was requested by the Guest or the Subscriber.

VRBO Guest Cancellations

While you can cancel a VRBO reservation on the guests behalf from within Lodgix, and set that as a Guest Initiated cancellation, we do not recommend doing so. VRBO will count all cancellations made within Lodgix as Host Initiated cancellations, regardless of the setting you choose at the time of cancellation.

A guest can cancel a booking from within the My Trips area of VRBO. VRBO communicates the cancellation to Lodgix, the reservation is canceled and VRBO is notified that the cancellation is complete. That is the recommended course of action.

Editing Payments / Refunds on Canceled Invoices

Refunds and Cancellation fees can be edited from the Transactions tab of the guest control panel, and also from within a canceled invoice...
