Custom PDFs can be created in Lodgix for Rental Agreements, Invoices, Confirmations, etc. These PDFs can then be sent to guests as attachments to emails and triggers, or provided directly to the guest through the Staylio app. The documents interface can be found from the main navigation under Settings > Documents
Documents Interface
Make sure you are in the Report Templates tab
Refresh the Screen or Add a New Template
Template Name: Custom name for your template.
Type: Options are Invoice, Confirmation, Rental Agreement, or Custom. Note that if you want to send a digital signature request to a guest, that document has to have a type of Rental Agreement.
Orientation: Portrait or Landscape
Migrated: This will indicate if your report was migrated from our legacy visual editor.
Additional Info: Click the Set Default Agreement button in this column to select the default rental agreement for your account. (If you have multiple rental agreements)
Restore: Restore a template to its original state. Note that this option is only available for system templates, not for templates that have been created by you.
Copy: This will create a duplicate copy of your template, that you can then edit. Useful if you are creating a similar document.
Edit: Edit the selected template
Delete: Note that the delete option is only available for documents that you have created. It is not available for system documents.
Edit Document Template
Template Name: If you've created a new template or copied an existing one, you would want to enter a custom name here.
Type: Options are Invoice, Confirmation, Rental Agreement, or Custom. Note that if you want to send a digital signature request to a guest, that document has to have a type of Rental Agreement.
Orientation: Set this to Portrait (most common) or Landscape
Editor Functions: Some of these functions are explained in greater detail at the end of this document
Merge Tags: Custom information that is dynamically inserted into the document. Position your cursor where you would like the variable to be inserted, then choose the merge from the drop down list provided. Click the Insert Tag button to insert the tag. See the next section for examples and more details.
WYSIWYG (What You See is What You Get) editor: Position your cursor in the editor and start typing. Use the functions in the top menu to style the text and insert links, images, etc. Use tables for greater control over the positioning of the content.
Save or Preview the document
Merge Tags
Merge tags allow you to dynamically add information to the document. This includes guest, property, company, and invoice specific information. All available tags are shown in the dropdown.
For example, you could use the [GUESTFIRSTNAME] tag to add the first name of the guest to the document, or the [RCHECKINTIME] tag to add the reservation check in time.
Merge tags are organized by category... Company, Property, Guest, etc. Each merge tag has a short description to aid in finding the correct tag to use for your template.
Visual Editor - Tips for Success
In general text from other editors can be cut and pasted directly into the the Lodgix editor. However, at times formatting from the original editor will carry over that will interfere with the display of your template. If that happens, copy the contents to a text editor first like Notepad and then copy / paste into the template. That should strip the formatting and provide a clean import.
Source: The source button will show you the actual source formatting code. If you are experiencing issues with formatting many times digging into the HTML will help you delete unnecessary formatting.
Hyperlink: Select the text you want to link and click this icon to enter the destination URL.
Upload Image: This allows you to upload an image from your computer. Please note this can only be used sparingly. Too many images will affect the PDF generation time, and can even crash the editor. The [CLOGO] merge tag will allow you to display your logo in the template, if a logo has been uploaded within the Important Settings area of the application. This is a safer option to display your logo.
Insert Table: Click this icon, choose the number of rows and columns, and insert a table into your document. Tables allow for greater control over the positioning of the content.
Insert Template: Use this icon to insert a prebuilt, preformatted, Lodgix template. Current options are Invoice and Rental Agreement. This button will insert them at the end of the existing content in the editor, and you can customize the content from there.
Merge Tags: Select from the list of merge tags, and insert them into the document.
